What we do

Our business process automation services

A business process rarely lives in one tool. Orders, approvals, invoices and hand-offs cross sales, operations and finance, so we automate the whole path rather than one step of it.

  • Process discovery and mapping

    Process mapping · baseline metrics

We follow the process as it really runs, across every team and system, and measure where time and errors go. You get a map, a baseline and the order in which to automate, before anything is built.

    • Real cycle times
    • A costed order of work
  • Process redesign

Fewer steps · clear exception paths

Automating a broken process only makes it fail faster. We remove duplicate approvals and re-keying first, agree who owns each exception, then design the automated version around that.

    • Simpler before faster
    • Owners for every exception
  • End-to-end automation build

    Make.com · n8n · Power Automate · custom code

We build the full process on the platform that suits your stack and your data rules, test it against real cases, and run it alongside the manual version until the numbers match.

    • Built on your stack
    • Tested on live cases
  • CRM, ERP and finance integration

System integration · data sync · custom connectors

Processes break where systems disagree. We connect your CRM, ERP, accounting and operational tools so one update lands everywhere, and build the connector ourselves when none exists.

    • One version of each record
    • Custom connectors
  • AI steps for documents and decisions

Document extraction · classification · routing

Some steps need judgement: reading an invoice, classifying a request, drafting a reply. We add AI to those steps only, with a person approving anything that carries risk.

How we work

How a business process automation project runs

Every project starts with one process and a number it should move. We prove the result there before widening out.

  1. 01

    Map and measure

We map the process end to end, record its current cycle time, cost and error rate, and agree the target with the process owner.

  2. 02

    Redesign

We cut the steps that add nothing, define the exception paths and choose the platform, then share a costed plan before the build starts.

  3. 03

    Build and test

We build the automated process, test it on real cases and run it in parallel with the manual version until the results match.

  4. 04

    Run and improve

We switch it on, measure it against the baseline and keep improving it, then move to the next process on the list.

Use cases

Business process automation examples by department

These are the processes we are asked to automate most often. Each one crosses at least two teams and two systems, which is where manual work and errors pile up.

  • Order to cash

Orders become invoices, payment links and reconciled ledger entries without anyone re-typing them. ViennaHouse cut long-stay billing across 40 hotels from 100+ staff hours a month to 10.

  • Procure to pay

Purchase requests are approved by the right budget holder, supplier invoices are read and matched in the ERP, and only the mismatches reach a person. One engineering group turned a full day of monthly invoice matching into five minutes.

  • Lead to customer

Enquiries are captured, qualified and routed to the right owner, deals and quotes stay in step with the CRM, and the hand-over to delivery happens the moment a deal is won.

Platforms

The platforms we automate business processes on

We are platform-agnostic. We pick the automation platform that suits your systems, volumes and data rules, and build on the tools your team already uses.

And many more. Using a system with no official connector? We build the integration ourselves.

The basics

What is business process automation?

Business process automation (BPA) is the use of software to run a complete business process, such as order to cash or employee onboarding, across every team and system involved, with people stepping in only for approvals and exceptions.

Not sure yet which kind of automation fits your problem? Start with our workflow automation consulting page, where we compare workflow automation, BPA and robotic process automation (RPA) side by side, then book a call and we will help you choose the right approach for your process.

How to choose

BPA software, a BPA partner or a managed service?

There are three common ways to get business processes automated. The right one depends on who will design, build and run the automation once it is live.

Criteria BPA software, built in-houseBusiness process automation servicesManaged automation subscription
Who designs the process Your team, alongside their day jobs. Our consultants, with your process owners. Our team, from a backlog you rank.
Best for Simple, single-team workflows and teams with automation skills in-house.Cross-department processes with real cost and several systems involved.A steady flow of known workflows that need building and maintaining every month.
Typical cost model Licences plus internal time.Fixed-scope project per process.Monthly subscription.
Who fixes it when it breaks Whoever built it, if they are still there.Us, under a support plan.Us, included in the subscription.

What are the benefits of business process automation?

The return shows up in hours, errors and capacity. These are the gains we measure most often on the processes we automate.

  • Hours back every month

Repetitive steps stop eating staff time. On ViennaHouse long-stay billing, invoice creation went from more than two hours per guest to 30 seconds.

  • Fewer errors

Data entered once and passed between systems automatically stops being mistyped. ViennaHouse removed calculation errors from 300+ monthly invoices entirely.

  • Growth without extra headcount

An automated process absorbs more volume at the same cost. Blu.Coffee cut manual order work by 90% while handling a growing customer base.

  • Faster cycle times

Approvals and hand-offs happen in minutes instead of waiting in inboxes, so orders ship, invoices go out and new starters are set up sooner.

  • A record of every step

Each case follows the agreed path and is logged as it goes, so audit and compliance questions already have an answer.

  • Data you can trust

When the CRM, ERP and finance systems update together, reports agree with each other and nobody reconciles spreadsheets at month end.

Business process automation case studies

Processes we automated end to end in hospitality, manufacturing and retail, with the results measured against the manual baseline.

  • Process automation

Automating fuel expense management for a large fleet of vehicles

A European applied engineering company faced a significant challenge in manually processing fuel expenses for its large fleet of vehicles. Every month, employees spent a full day sorting and organizing data from supplier invoices, matching each car’s fuel cost to its respective cost center, a time-consuming and error-prone task.

  • Process automation

From Specialty Coffee to Business Automation

Blu.Coffee, a specialty coffee roastery in Cluj, faced growing operational challenges as their customer base expanded. They struggled with bottlenecks across several areas:

    • Real-time Customer Feedback: Tracking and addressing feedback effectively.
    • Customer Retargeting: Re-engaging customers who stopped ordering required significant manual effort.
    • Order Processing: Handling a higher volume of orders and providing real-time delivery updates was overwhelming.
    • Invoice Management: Manual invoicing led to errors and delays, impacting regulatory compliance and inventory management.
    • Customer Communication: Manual updates on order status were time-consuming, risking customer satisfaction.

  • Process automation

How to Automate Hotel Long-Stay Guest Billing in n8n: ViennaHouse Case Study

ViennaHouse's needed monthly billing for long-stay guests, but their property management system couldn't automate the process.

    • 300+ manual invoices generated monthly across all hotel properties
    • 2+ hours per guest for invoice creation, payment processing, and German tax compliance
    • 100+ staff hours monthly consumed by repetitive billing workflows
    • Payment tracking chaos with multiple billing cycles and manual reconciliation
    • Front desk teams buried in PDF generation instead of guest experience
    • Inconsistent billing processes across properties destroying operational efficiency

FAQs about business process automation services

  • What do business process automation services include?

Our business process automation services cover the full path from a manual process to a running automated one: mapping and measuring the current process, redesigning it, building the automation and the integrations between your systems, testing it on real cases, and monitoring and supporting it after launch. You can engage us for one process or a programme of them.

  • Which business processes should we automate first?

Start with a process that runs often, follows mostly predictable rules, crosses more than one system and has a cost you can measure, such as invoicing, purchase approvals or employee onboarding. We rank candidate processes by expected return and effort during discovery, so the first project pays back quickly and funds the next one.

  • How much do business process automation services cost?

It depends on the number of steps, systems and exceptions in the process. We work in three stages: a fixed-fee discovery that maps the process and sets the baseline, a fixed-scope build for each process, and an optional support plan afterwards. You get a costed plan with the expected return before the build starts. Book a call to scope yours.

  • How long does it take to automate a business process?

A single, well-defined process is usually live within a few weeks. Larger processes that touch an ERP, several departments or legacy systems take longer, so we deliver them in stages and switch each stage on as soon as it is tested.

  • What is the difference between BPA and RPA?

Business process automation connects your systems through their APIs and automates the whole process. Robotic process automation (RPA) uses software bots to click through a user interface, which is useful only when a system offers no other way in. We use RPA where there is no better route and BPA everywhere else. Our workflow automation consulting page compares workflow automation, BPA and RPA in more detail.

  • Do we need to buy new software?

Usually not. We build on the tools you already use, including Make.com, n8n and Power Automate, and connect them to your CRM, ERP and finance systems. Where an automation platform is missing, we recommend one that fits your volumes and data rules.

  • Can you automate processes that rely on legacy systems?

Yes. Where a system has an API, we connect to it directly. Where it has none, we build a custom connector, work from exports and imports, or use RPA as a last resort. The fuel expense project for one of our clients, for example, fed data from Excel and PDF invoices into Navision.

  • Is business process automation secure?

Makeitfuture is ISO 27001 and ISO 9001 certified. We give every automation the minimum access it needs, log what it does, and agree with you where the data is processed and stored before the build starts.
