The Swiss business software bexio promises to make administration for SMEs very simple. From contact management, offers, invoices and orders to banking and accounting, the software covers everything important and above all necessary. (Sidenote: Functions that are only included in the Pro or Pro+ version of bexio are not discussed here). Bexio is also a cloud software that promises data security through Swiss data centres. A point that is particularly important for the sensitive topic of accounting.
But in addition to the basic functions of the software, there are many more possibilities, namely by integrating bexio with other applications. What is meant by this? Contact management: All contacts are available in a central location and can thus be quickly accessed and changed. All other functions are based on this data and access is also possible with the bexio mobile app. In addition, notes can be entered for contacts or categories facilitate organisation. Contact import is also supported via Excel or as CSV.
Offers, invoices and orders: Probably the most basic function of bexio is the creation of offers, orders and invoices as well as credit notes with the help of text modules (if desired). The resulting PDF documents can be created in a custom design and in several languages.
Accounting: A journal is maintained for all bookings in bexio, which ensures clarity and also enables online storage of receipts. In addition to supplier invoices, bookings of your invoices to debtors are also mapped. Of course, everything is legally compliant.
Banking: If you integrate your e-banking with bexio, you have an immediate overview of your financial status and open or paid invoices. This data is updated automatically and can also be transferred from bexio to e-banking.
The functions of bexio are also expanded by numerous applications on the bexio App Marketplace. For example, newsletter marketing, customer surveys, expense reports or shop systems such as shopware can be integrated. But wait, there's even more.

Email attachments: Important accounting documents are often received by email, such as invoices as attachments. These attachments can easily be uploaded automatically to bexio and are immediately available. This is possible even if the document is not available as an attachment but in the email text.
Upload receipts: Sometimes it is necessary to have receipts not only in bexio, but also in Dropbox or GoogleDrive, for example. Instead of uploading the documents separately in both places, the documents can easily be uploaded in bexio and used as a new receipt.
Integrate CRM with bexio: Customer data is usually also available in the CRM. By integrating a CRM such as Pipedrive with bexio, all changes or new entries are automatically synchronised. Of course, the same also works with Hubspot or other CRM software.
Manage contacts: It is possible to manage contacts, such as customers or suppliers, via bexio's API interface. Addresses, telephone numbers or email addresses can be bundled in a collection and automatically created, retrieved or updated.
Integrate shop: If a person buys a product in your shop, for example Shopify, a new customer account is not only created in the shop system. This also automatically triggers a new person in bexio.
Newsletter marketing: Via the bexio integration with Mailchimp, a newsletter tool, new or updated people from bexio can be automatically added to Mailchimp as subscribers to a newsletter list. This way, your email marketing is always up to date and no customer receives an email that is not actually intended for them.

Cloud Integration, iPaaS, SaaS, BPA… Ough, hard to keep track of all these terms. They are currently used frequently (and increasingly) in the context of automation, and it is sometimes difficult to make a clear distinction and distinction. To illustrate these advantages, an example is suitable that we know well from our everyday work as an automation agency:
The central data to be used here is the data of a major customer. This can be the simplest information, such as the address. This address is required in numerous but completely different processes in the company: on the one hand, for correct invoicing in accounting. On the other hand, in the CRM system, where all the data of the large customer is also stored. But the address is also important in sales, for example, when employees go to the sales meeting on site.
Now the customer announces that the address of the company has changed after a move. This information will reach you by e-mail. There are now two options:
01. The e-mail is forwarded to all affected departments, accounting, sales, customer service, marketing… All persons open their corresponding program, CRM, accounting software, marketing tools (such as newsletter marketing) and change the data already stored there of the customer. This means that in multiple applications, different people do exactly the same thing: change one address.
02. But there is also an alternative: By connecting your applications, thus by integrizing them, the customer’s e-mail, or rather the information it contains about the address change, is automatically passed on to all affected applications: CRM, accounting, marketing, ERP. This does not require any clicks, because the cloud integration detects a trigger, i.e. address change, and thus automatically starts the process.
What sounds unimpressive in a single process becomes more effective when such a process occurs several times a day or weekly. Because there is a lot of data that is available in different applications and should always be correct. If these applications are cloud applications they are suitable for cloud integration.
But cloud integration doesn’t just happen. There are now a variety of applications that enable and implement this. Such tools usually allow us to link the relevant cloud applications on a central platform and define clear rules on when, how, where, how much data should be passed on and what happens to them.

Cloud integration is rather an umbrella term that includes numerous technologies, such as SaaS, iPaaS and BPA, and this is also absolutely necessary. Cloud integration is a concept that is made possible by appropriate technologies.
However, all terms share the commonality that they are cloud-based and thus offer enormous potential for growth and scaling. In addition, they are often cheaper to implement and maintain because changed requirements are easy to implement.
