What Is RPA: Advantages and The Challenges!

RPA full form stands for Robotic Process Automation. It helps businesses in managing the processes that are tedious and repetitive with the assistance of digital software robots, also called RPA bots.

Introduction of RPA

The concept of RPA is very simple, but it is often mistaken for actual robots. It's not the robots that play the parts of manual work but, in fact, the robotic software bots that assist the humans.
The idea of robotic process automation goes way back to the 1950s. The question arises, how does RPA works? RPA operates at an interface and user interface level by copying the tasks performed by the human workforce on the basis of mouse clicking and the usage of keys on the keyboard.
For this, the scripts are prepared to retrieve the information from the systems, and then they can be transferred to other systems.
The key concept about the RPA is that it doesn't replace humans but assists them in work by handling the tasks that are monotonous, like data entry, performing calculations, and logging in or logging out.

What Are The Benefits Of RPA?

RPA is a very powerful technology platform that has so much to offer its users. Despite many similar technologies in the market, RPA still standout out due to its ability to combine, refine and define. Also, the development of RPA is what makes it a popular choice among users.
Here are some of the benefits that RPA offers:

  • Saves Human Resources:
RPA eliminates the need for human brains in small, minute tasks, and this allows them to employ the human resource in different areas that will actually help the business move forward.

  • Reduces The Chances Of Error
Human resource is more likely to make a mistake than the software that is fed with the information. Also, the accuracy of the RPA will help in saving the time wasted otherwise during the mistakes in the little tasks that have a big impact on the further business processes.

  • RPA Is Flexible
RPA allows the business to customize without the need to replace the costly legal system. Also, it helps businesses in automating parts of critical business. In addition to it, it's quick and easy to implement and also integrates well with other systems.

  • Its Rises The Operational Flexibility
It enhances the ability to audit the automated processes and provide insights into an existing problem which can then help in analyzing, identifying, implementing, and solving the existing problems.

The Tasks That RPA Can Manage

  • Helps in moving the folders
  • Opening of emails
  • Application registration
  • Carrying out calculations
  • Entering of data into forms
  • Copy and paste activities
  • Integrating the data from various sources
  • Reading and writing database
RPA can easily take over routine tasks like these and more.

What Are The Drawbacks Of RPA

No technology comes without its downside. Although RPA has some challenges, they are not very significant.
Here are some of the drawbacks:

  • Security Risk
Despite no major breaches that have been found, there still lies a threat. For instance, frauds, inappropriate access to sensitive data, abuse of administrative privileges, and the potential to compromise the availability and the continuity of the system.

  • Change Management
From an employee's side, there is a risk of losing jobs to such automated software that are not only efficient cost-effective but ensures greater accuracy.
However, these challenges can easily be overcome. For example, informing the employees before recruiting about the automation in the business or the potential automation in the future to know what’s coming ahead of them.
Moreover, businesses should focus on the larger picture that despite the few challenges that this automation comes with, there is a long list of benefits that help businesses in many areas.
Lastly, some employees might willingly agree to the process automation and would go in favor of RPA because then they are no longer required to carry out boring tasks. Instead, they will be assigned more valuable activities to perform, which will help in retaining the employee's interest in the job.

The most important point why you should not use RPA but rather iPaaS and APIs is, in the future every software will have an API, then you don't need RPA anymore - you want to know more about that? Then let us advise you: Free Consultation.

Cloud Integration, iPaaS, SaaS, BPA… Ough, hard to keep track of all these terms. They are currently used frequently (and increasingly) in the context of automation, and it is sometimes difficult to make a clear distinction and distinction. We have already written blog posts on the terms iPaaS, SaaS and BPA, but we’ll take them up again here to make the difference.

But let’s start with cloud integration, because that’s the central umbrella term in which we embed all the other technologies in this blog post.

  • Is available in real time
  • Can be accessed from almost anywhere
  • Reduce potential sources of error by entering the same data multiple times
  • Require less installation and maintenance
  • Can optimize business processes

To illustrate these advantages, an example is suitable that we know well from our everyday work as an automation agency:

The central data to be used here is the data of a major customer. This can be the simplest information, such as the address. This address is required in numerous but completely different processes in the company: on the one hand, for correct invoicing in accounting. On the other hand, in the CRM system, where all the data of the large customer is also stored. But the address is also important in sales, for example, when employees go to the sales meeting on site.

Now the customer announces that the address of the company has changed after a move. This information will reach you by e-mail. There are now two options:

01. The e-mail is forwarded to all affected departments, accounting, sales, customer service, marketing… All persons open their corresponding program, CRM, accounting software, marketing tools (such as newsletter marketing) and change the data already stored there of the customer. This means that in multiple applications, different people do exactly the same thing: change one address.

02. But there is also an alternative: By connecting your applications, thus by integrizing them, the customer’s e-mail, or rather the information it contains about the address change, is automatically passed on to all affected applications: CRM, accounting, marketing, ERP. This does not require any clicks, because the cloud integration detects a trigger, i.e. address change, and thus automatically starts the process.

What sounds unimpressive in a single process becomes more effective when such a process occurs several times a day or weekly. Because there is a lot of data that is available in different applications and should always be correct. If these applications are cloud applications they are suitable for cloud integration.

But cloud integration doesn’t just happen. There are now a variety of applications that enable and implement this. Such tools usually allow us to link the relevant cloud applications on a central platform and define clear rules on when, how, where, how much data should be passed on and what happens to them.

IPaaS, SaaS, BPA, ABC – who can still see through it?

To realize cloud integration, there are various applications and technologies that are sometimes used interchangeably.

We have made a first distinction between iPaaS and BPA here.

We explain the term SaaS in more detail here.

Here the short version, again:

Cloud integration cannot be done without SaaS, iPaaS and BPA

Cloud integration is rather an umbrella term that includes numerous technologies, such as SaaS, iPaaS and BPA, and this is also absolutely necessary. Cloud integration is a concept that is made possible by appropriate technologies.

However, all terms share the commonality that they are cloud-based and thus offer enormous potential for growth and scaling. In addition, they are often cheaper to implement and maintain because changed requirements are easy to implement.

As an independent automation agency, we implement cloud integration according to your requirements. We use a variety of SaaS tools and iPaas (strictly speaking BPA) software. Together we find individual solutions that are flexible and scalable.
